Richmond, Virginia

Rentals

In Richmond: Rentals in the metro pool centrally, then radiate outward. Most of the trucks are based in the city or the inner ring, so a Powhatan farm or a Charles City river-country venue can add real delivery, mileage and labor to the quote. Ask before you sign. Summer here brings genuine thunderstorm risk from mid-June through August, and a tent for that window is a contracted plan, not a suggestion — you want sidewalls in reserve and drainage on the site walk, not a phone tree on the day. Historic and museum-district grounds often restrict tent staking, open flame and vehicle access on the lawn; confirm what your venue allows on paper before your rental order goes final. If your date lands on the second Saturday in November or the second weekend in October, warn the delivery driver about downtown road closures.

How to think about rentals

Everything the venue doesn't provide, you rent: tables, chairs, linens, place settings, glassware, lounge furniture, a dance floor, lighting, heaters, and — for any outdoor day — the tent that is quite literally your entire weather plan. Rentals are invisible when they're right and impossible to ignore when they're wrong. Blank-slate venues lean on them heavily; all-inclusive venues may need only a few accents. Order through your caterer or a dedicated rental company, and read the fine print on delivery, setup, and teardown fees, which add up faster than couples expect. If a tent is your rain backup, price it early — it belongs in the budget from day one, not as a panicked day-of line item.
